Update for Time & Attendance and Staffing & Scheduling

UPDATED SEPTEMBER 14

The Time & Attendance and Staffing & Scheduling System Upgrade is complete.

How does this affect my workflow?

Employees may now access the Time & Attendance and Staffing & Scheduling applications.

  • Employees are now able to enter clocking and calendar requests
  • Time & Attendance supervisors can now edit employee timecards or approve requests
  • Schedule adjustments may be made
  • All employee clocking’s during the downtime window have been transferred over and are available for employee/timekeeper review on timecards

Directions to follow

  • Employees should clock using Time Call, intranet homepage Time & Attendance link, or badge readers (where available)
  • Carelink WS Toolbar is now available for clocking–employees must use their user ID/password to clock into the application
  • Please complete the following steps:
    • Employees should review their timecards and submit needed requests
    • Timekeepers must action employee requests and valudate hours during upgrade have been recorded properly
    • Schedulers can make any needed schedule changes.

On September 13-14, 2017, we are upgrading our Time & Attendance (T&A) and Staffing & Scheduling (S&S) software. During this timeframe, the system will be down, but employees will still be able to clock hours worked.  When the new system is upgraded, it will be changing from API.Net to GE Centricity–new name, new look, same basic functionality with improvements.

No employee, timekeeper and scheduler training is required.  Resource documents are available and have been updated on the Time & Attendance and Staffing & Scheduling intranet pages should you have questions.

Below is an overview of what you can expect.

TIMELINE & WHAT TO EXPECT

Wed 9/13 – System Down – Data Conversion

  • Data Conversion begins at 8:30 am
  • Employees will be able to clock using Time Call, intranet home page T&A link or Badge Readers (where available).   If an employee is floating or using a special code they must use Time Call.
  • As we begin the upgrade, employees may experience brief disruptions in ability to clock.
  • No T&A Supervisor adjustments to employee timecards during downtime window.
  • No schedule adjustments can be made during the downtime window–schedules must be printed prior to upgrade.
  • Carelink WS Toolbar will not be available for clocking–employees must use the intranet home page.

Thu 9/14 – System Down – Data Conversion

  • Employees will be able to clock using Time Call, intranet home page T&A link or Badge Readers (where available).   If an employee is floating or using a special code they must use Time Call.
  • No T&A Supervisor adjustments to employee timecards during downtime window.
  • No schedule adjustments can be made during the downtime window–schedules must be printed prior to upgrade.
  • Carelink WS Toolbar will not be available for clocking–employees must use the intranet home page.
  • T&A system will be available by Friday morning at the latest – Official Go Live notification will be sent when system is available.

TRAINING & EDUCATION – No employee, timekeeper and scheduler training is required, but resource documents are available and have been updated on the Time & Attendance and Staffing & Scheduling intranet pages.
