W-2 and Your Security

As the year comes to an end and tax time begins, make sure your information is secure. The network’s Payroll Department suggests trying the methods below to keep your information safe.

  1. Receive your W-2’s electronically: This will help reduce the threat of identity theft by not having paper copies of your W-2 being sent in the mail or printing them yourself and losing them. Remember, your W-2 has your entire Social Security Number displayed, along with your full name and address. Please visit the “Year End and W-2 Information” section of the Payroll intranet page to learn how to elect this option.
  2. Import into TurboTax: With UltiPro, you have the ability to import directly into TurboTax. This is another means to help ensure your information is sent securely when preparing your taxes, rather than having paper copies floating around. Step-by-step instructions are also provided on the Payroll intranet page under “Year End and W-2 Information.”
  3. IRS W-2 Verification Code: The IRS is launching a new program to help prevent identity theft and protect the integrity of W-2 information. There will be a 16-digit verification code located in Box 9 of your W-2. You may be asked to provide this code when filing your Federal return electronically. This program is still in the pilot stages, but it may become mandatory in future years.
